How to Manage Stock in Vyapar: Items, Low Stock Alerts and Reports

admin2 min read

Most shop owners start Vyapar for billing and discover the stock side later. Set it up early if you can. Once your items have an opening stock, every sale and purchase updates the count on its own, and you stop guessing what is left on the shelf.

The steps below follow Vyapar’s own stock guide for the desktop app.

Turn on stock tracking

Open Settings, go to the Item tab and switch on Enable Item and Stock Maintenance. If you sell packaged goods with barcodes, switch on Barcode Scan too, so you can scan items while billing.

Add items with their opening stock

  1. Click Items in the main menu, then + Add Item.
  2. Enter the item name, unit, sale price and purchase price.
  3. In Opening Stock, type what you physically have right now.
  4. Set a Low Stock Alert quantity, the level at which you want a warning.
  5. Save.

Count before you type. An opening stock copied from an old register that nobody checked will be wrong for months.

How stock moves after that

A purchase bill (+ Add Purchase) adds to stock and a sale (+ Add Sale) takes it away, as soon as you save. Estimates do not change stock, so a quotation you send a customer will not make an item look sold.

Low stock alerts

When an item falls to the level you set, Vyapar flags it, and its feature list says you can create a purchase order from that low stock information. Set the alert a little above zero, at the level where you would normally reorder.

Fixing stock after damage or loss

Broken bottles, expired packets, a miscount: open the item, choose Adjust Stock, enter the quantity to add or reduce with a reason, and save. Fill in the reason too; six months later you will not remember why 12 units vanished.

Stock reports worth checking

Under Reports, Item/Stock Report gives you a Stock Summary (what you have of everything) and Stock Detail (every movement in and out for an item). Clicking any item also shows its purchase and sale history.

Vyapar’s feature list also mentions batch and expiry tracking with MRP, useful for medical and grocery stores.

If you are new to Vyapar, add the referral code PNQ1G9 when you sign up to get 3 to 6 months extra; our guide shows where.
