Every April, Vyapar users ask the same thing: do I need to close the year, and will I lose my old bills if I do? You do not have to close it on 1 April, but when you do, a little preparation saves a lot of worry.
Before you close the year
- Finish every entry for the old year. Vyapar’s guide is clear that once the close is done, you cannot make back-dated entries.
- If you are on a paid plan, sync your data first.
- Take a backup: Main Menu, then Sync, Share & Back-up, then Back-up to Drive/Computer. Our backup guide explains the options.
Closing the year
In the desktop app, open the left menu, go to Utilities and click Close Financial Year. Vyapar’s year-end guide shows two options:
- Restart with Transaction Numbers, for when you simply want invoice numbers to start again from 1 in the new year.
- Backup All Data and Start Fresh, which saves a backup and starts the new year clean. Vyapar’s FAQ says previous balances carry forward as opening balances and closing stock becomes opening stock.
Which option to pick
If your only concern is invoice numbering (many businesses like INV-1 again each April), the first option does the job with the least change.
If the file has grown heavy after years of entries, or you want a clean break, start fresh. Your customers’ outstanding amounts and your stock come with you, and the old year sits safely in the backup.
Seeing last year’s data later
Vyapar’s FAQ says the backup of the previous year is saved to your device or Google Drive when you close books, and you restore that file to look at the old data. Keep it somewhere you will find it; your accountant may ask for last year’s reports in July.
Talk to your accountant before closing if you are unsure, especially around GST return deadlines.
